Clients of I.T.ZAP Website Design Works can follow this guide to setup their SSL secured and encrypted email accounts on either a desktop computer or mobile device.
All your email account Usernames and Passwords will have been provided in an Excel Workbook named "Confidential VIP Website Details.xlsx" (or something similar).
Auto Discover Settings Feature
The I.T.ZAP web hosting server features “Auto Discovery”. Once you enter your email address username, password and mail server name, most email software and mobile devices will automatically detect your correct email accounts settings.
If the auto-configuration fails, then please set up the email account using manual settings.
Finally, if you have any trouble, then simply contact Gary Flack.
The difference between IMAP and POP3 email accounts
- With IMAP all your email messages and file attachments remain on the website server, which can build to occupy significant storage space. With multiple email accounts you can approach your data storage limit quite quickly. However, it is possible to Login to your cPanel server and clean out old email messages.
- With IMAP, because the message is on the mail server and not downloaded to your device, you cannot use the very handy Reminder and Follow-up Flag features in Microsoft Outlook. Personally, I cannot operate efficiently without those Reminders. So for me POP3 email is definitely the best way to go.
- With POP3 all new email messages are downloaded to your computer and/or mobile device each time you connect, where they remain until such time as you decide to delete them, or they are archived.
- With POP3 you you have the option to go into your Internet Email Advanced settings tab to select when messages are deleted from the web server to automatically free up space.
7 or 14 days is a good choice for the auto-delete setting. Once this setting is applied, email messages can then be downloaded and received on multiple devices; your desktop computer, your iPhone, your iPad AND other people's devices before they are deleted from the server. Very handy indeed !
OTHERWISE simply choose NOT TO DELETE messages from the server. Keep them all and perhaps have a cleanout every year or two.
